We are seeking a skilled HR Admin Support Responsible for managing and processing HR administrative tasks, including handling internal and external HR queries, maintaining employee data in SAP and Success Factors, documenting payroll-relevant changes, issuing certificates, supporting on boarding/off boarding, and ensuring compliance with HR processes. Collaborates with stakeholders, manages HR tickets via Jira, and contributes to process optimization in a dynamic, international environment. Requirements
1. Distribute, manage, and process internal HR-related tickets using Jira software, ensuring timely follow-up and resolution in collaboration with relevant stakeholders.
2. Handle and process external HR-related inquiries, such as employment confirmations requested by third parties.
3. Issue employee certificates and references, including certificates of employment.
4. Ensure the accuracy and validity of employee certificates (e.g., work permits); regularly review and request updated documentation as needed.
5. Enter, maintain, and update employee and leadership data in SAP systems, including changes related to job titles, reporting lines, and contract modifications.
6. Document all payroll-relevant data changes in SAP and report them to the payroll agency. Any payroll-impacting changes in Success Factors (SF) must be documented according to approval status, collected, and forwarded to payroll (e.g., tax code changes, address updates, bank account modifications, paternity leave, visa deductions).
7. Address all payroll and pension-related inquiries by gathering questions and forwarding them to the payroll provider.
8. Manage requests for annual leave reports, sickness absence reporting, and references/certificates (e.g., for property rental or employment verification).
9. Create and amend employment contracts as required.
10. Support the management of onboarding and offboarding processes.
11. Assist in preparing for employee onboarding days, ensuring all system requirements and access rights are set up in SAP.
12. Organize notifications for health insurance policies for new hires.
13. Generate regular reports using the SAP system, Administer employee learning certificates and Monitor employee time tracking.
14. Contribute to the optimization and documentation of HR operational processes
Requirements:
1. Experience in HR administration or a similar support function; experience in India, the UK, or other international locations is an advantage.
2. Familiarity with Jira or other ticketing systems and Experience with SAP HCM/Success Factors or similar HRIS platforms is preferred.
3. Strong communication skills, with the ability to collaborate effectively in international or multicultural environments.
4. Demonstrated sense of ownership, initiative, and self-management; comfortable working independently and taking responsibility for assigned areas.
5. Excellent organizational skills and attention to detail and Ability to handle confidential information with discretion.
6. Willingness to learn and adapt in a dynamic HR environment.
