Facility coordinator / Office Admin

We are looking for a responsible Facility coordinator to join our team in based out of our Kochi location with full time work from office for managing day-to-day office administration and facility operations, ensuring a safe, efficient, and well-maintained workplace. Responsibilities
1. Support the Facility Manager in the day-to-day management of office facilities and workplace services.
2. Assist in monitoring workplace infrastructure, office equipment, and common areas to ensure a safe and efficient work environment.
3. Coordinate and follow up on facility-related service requests and maintenance activities to ensure timely resolution.
4. Support the supervision of IFM contract staff by maintaining attendance records and coordinating daily activities.
5. Coordinate with the building management/facility team for common area maintenance, utility services, and shared facility requirements.
6. Assist in managing AMC vendors for air conditioning, pest control, deep cleaning, and other facility services, including scheduling and service follow-ups.
7. Maintain office supplies, pantry consumables, and inventory records, and coordinate replenishment as required.
8. Support office readiness activities and logistics planning during peak Work-From-Office days.
9. Support workplace safety, compliance, and emergency preparedness initiatives at the floor level.
10. Coordinate with internal stakeholders, vendors, and service providers to ensure smooth facility operations and employee support services whenever required.
11. Provide front office and reception support during the absence of the Front Office Executive.
Requirements
1. Bachelor's degree or diploma in Facilities Management, Administration, Hospitality, or a related field.
2. 2–4 years of experience in facilities, administration, workplace services, or office operations.
3. Good understanding of vendor management and facility maintenance activities.
4. Strong coordination, communication, and organizational skills.
5. Proficiency in MS Office applications.
6. Ability to work collaboratively with internal stakeholders, vendors, and building management teams.
7. Knowledge of workplace safety and compliance practices is preferred.
